Kammgarn Hard is a regional cultural institution that hosts events across various cultural sectors.
The project aimed to develop a modern online platform that aligns with the new corporate design (CD) of Kulturwerkstatt and highlights its events. Additionally, internal processes were to be optimized, and workloads reduced. The data management system was to be professionalized and standardized to create a single source of truth where all data is centrally managed. Export functionalities, along with the integration of the reservation system and newsletter solution, would enable automation and digitalization within the organization.
Regarding ticket reservations, a key goal was to minimize no-shows without prior cancellation, ensuring event capacities are utilized efficiently.
The technical implementation of the digitalization project focused on the following areas:
Open-Source CMS
The implementation took place after the client approved the concept and design. A customized installation was configured based on the open-source CMS Umbraco, tailored specifically to the workflows and requirements of Kammgarn, effectively reflecting the conceptual structure in the backend.
Contact Management
To establish a well-maintained and clean address database, existing data from various sources (the old reservation system, different Excel sheets, and the old newsletter database) were consolidated in the member management system of Umbraco. The properties of the members were adjusted to the data structures to ensure that all necessary information is available for various use cases (membership status for communication with Kammgarn members, reservations for managing participant lists for individual events, newsletter subscriptions for sending weekly event information, etc.). The use of the member management system also lays the groundwork for future enhancements, such as offering a Kammgarn portal with login capabilities.
Administration Backend
The ongoing process of event execution is optimally supported, as Kammgarn staff can easily view the current status of reservations through a user-friendly administration backend. They can adjust available tickets and export the necessary lists for entry checks at events.
Standalone Sub-Website
Development of a dedicated website for the annual event series "Summer Sessions," which is managed through the same CMS. It reuses core modules while featuring a unique design tailored specifically to the event.
Workflows & Process Support
The new platform offers Kammgarn customers the ability to purchase tickets for events directly online through the partner Ländleticket. Additionally, an online ticket reservation system has been implemented, which automatically reminds customers of their reservations through reminder workflows. A cancellation link provides a simple and convenient way for customers to release reserved tickets in case of an inability to attend.
Integrated Newsletter Solution with Automated Content Creation
Given the importance of ongoing promotion and the availability of contact data from culture enthusiasts within Kammgarn's catchment area for the successful planning and execution of events—while acknowledging the limited personnel resources—a fully integrated newsletter solution was implemented. This allows for the creation of newsletters in the organization’s branding with just a few clicks, using existing website content that consists of various modules. Images and text are automatically pulled from event data within the CMS and formatted correctly. The teasers are linked automatically to the corresponding target pages on the website, minimizing errors in transferring links and data, while reducing the editorial effort required for newsletter creation.
The new online platform has streamlined event management for Kammgarn, enhancing the overall user experience for both staff and customers.
After the implementation of the project, workflows related to the management of contact data have been significantly simplified. Data from registrations are automatically entered into the system, and updates need to be made only in one central location.
